Privacy notice

How we collect, use and keep personal data, and what you can ask us to do with it.

Who we are

Proximo is a trading name of Proximo Growth Ltd, registered in England and Wales, company number 17409848. Registered office: 25 Gustard Wood, Wheathampstead, St Albans, AL4 8RR.

We are the controller of the personal data described in this notice. For any privacy question, or to have your data removed: tom@proximo.team.

We are registered with the Information Commissioner’s Office.

What we do

We introduce accountancy practices to companies that may be open to changing accountant.

We look for companies that appear to be rethinking who they work with, contact them to find out what they are looking for, and compare that with the accountancy practices we work with. Where there is a good fit we tell both sides, and we make the introduction only if the company agrees.

For our introduction service, we contact companies on our own account. We do not act in any practice’s name and we do not contact anyone on a practice’s behalf. We always say who we are and why we are calling.

We also run bespoke engagements for some clients, which can include proactive campaigns on their behalf. Where we do, our messages say who we are acting for, and our interest is in marketing that client’s services to businesses likely to want them.

We also help businesses that come to us directly and ask us to find them an accountant. See If you ask us to find an accountant.

If we contacted you and you did not sign up

What we hold. Your name, job title, employer, work email address, work telephone number, and your public professional profile.

Where it came from. Companies House, your company’s own website, LinkedIn, and business contact data providers.

Why. To ask whether your business is open to changing accountant, and, if it is, to find out what you are looking for so we can tell you whether any of the practices we work with would suit you.

Lawful basis. Legitimate interests. Our interest is in marketing our own introduction service to businesses likely to want it, and, for clients on bespoke engagements, their services. We have weighed that against your interests and recorded the assessment. We contact you only in your professional capacity, at work contact details, about matters relevant to your role, and we stop as soon as you ask.

We contact corporate subscribers only, meaning UK limited companies and limited liability partnerships. We screen telephone numbers against the Telephone Preference Service and the Corporate Telephone Preference Service before calling.

Our company database

We hold a database of UK companies built from information Companies House publishes, including company details, filing dates, employee numbers, net assets, and the accountancy firm named on filed accounts. This is public information and most of it is not personal data.

Where it includes the names of directors, that is because Companies House publishes them. We do not hold dates of birth.

How we decide who to contact

We score companies using the public information above, to work out which businesses are most likely to be open to a conversation about their accountant. The scoring is about companies, not about you. No assessment is made of any individual.

A person decides whether to contact you. No decision producing a legal effect on you, or a similarly significant effect, is made by automated means.

The scores are for our own use. We do not publish them, share them, or state them to anyone we contact.

If you submitted the form on this site

We collect your email address, and your name if you give it, and use it to tell you about Proximo. Lawful basis: legitimate interests in responding to people who have asked to hear from us. You can unsubscribe at any time.

If you ask us to find an accountant

You can ask us to match your business with an accountancy firm, through our find an accountant page or by calling us. Here, you contact us.

What we hold. From the form: the type of business, your name, phone number, email address and business name, and, if you choose to give them, your headcount, turnover and anything you tell us about what matters most to you. We also record the page you came from, and we keep notes from a short phone call about what you want from an accountant.

Please do not tell us about health, personal finances or anything else sensitive in the free text box. We do not need it, and if we receive it we delete it.

What we do with it. We call you to understand what you need, compare that with the accountancy firms we work with, and send you a short summary of the closest fit: why it suits you, where it does not, and the likely fee. If you say no, we look for another firm or close your file, whichever you prefer.

We share nothing with any firm unless you tell us you want the introduction. If you say yes, we pass your name, contact details, business details and a summary of what you need to that one firm only.

How we are paid. The accountancy firms we work with pay us a fee agreed in advance. You pay us nothing. The fee is not a share of anything you pay the firm. We can only introduce you to firms we work with, and we will tell you if none of them fit.

Lawful basis. Handling your enquiry, calling you and finding a match: legitimate interests, in answering a request you made. You can object at any time. Introducing you to a firm: your consent, given when you say yes to a specific firm. You can withdraw it at any time, but a firm that already has your details becomes responsible for them from that point.

Who is responsible. We are the controller of what you give us. Once we introduce you, the firm becomes a separate controller of the details we pass on and handles them under its own privacy notice.

Who else sees your data

Our service providers, who process data on our instructions and only for us: database hosting, email sending and sequencing, contact data enrichment, our website form provider, and our email and calendar provider.

Accountancy firms, if you asked us to find you an accountant and agreed to an introduction. Only the firm you said yes to.

Accountancy practices we work with. We give them information about companies, not about people. The only time a practice receives your name is if you agree to meet them, and then only your name, role, employer, and what you told us you were looking for.

We do not sell your data and we do not share it for advertising.

Where your data is held

Some of our providers process data outside the UK, including in the United States. Where they do, we rely on a UK adequacy decision or the UK International Data Transfer Addendum to the European Commission’s standard contractual clauses.

How long we keep it

Company records. We hold our copy of the Companies House register for as long as we operate the database, and refresh it from source so it stays accurate. Where a company is dissolved and removed from the register, we remove its records in the next refresh.

If we contacted you. Your contact details are kept for up to 12 months from our last contact with you, then deleted automatically.

If you submitted the form. Until you unsubscribe or ask us to stop.

If you asked us to find an accountant. If no introduction is made, or you stop replying, we delete your details 12 months after we last spoke. If you decline, we delete them within 30 days. If we introduce you, we delete our call notes 12 months after the introduction and keep a short record of it (your name, business, the firm and the date) for 6 years, because it underpins our agreement with that firm.

If you ask us not to contact you. We keep the minimum record needed to make sure we do not contact you again, indefinitely. Deleting it would mean contacting you by mistake.

Your rights

Under UK data protection law you can ask us to show you what we hold about you, correct it, delete it, restrict how we use it, or give you a copy in a portable form.

You can object to us using your data for direct marketing at any time, and we will stop. No reason needed.

Where we rely on your consent, you can withdraw it at any time.

Email tom@proximo.team, or reply to any message from us. One reply is enough.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk.
