How to change accountant

It can be as easy as sending one email, and the whole switch can be completed within two weeks.

Four steps

There are four simple steps to making a change:

  1. Pick your moment

The obvious question is when is the best time, and the honest answer is, where possible, straight away. That said, there are a few times to avoid, particularly the weeks leading up to an important filing, or a fast approaching VAT or payroll deadline. It's also worth paying close attention to any pre-paid fees that you might not get back.

  2. Agree scope and fee in writing

The new accountant sends a letter of engagement with each service. You should always expect clarity on pricing and a start date that works for you. They will also check your ID under AML rules.

  3. Tell your current accountant

A short email is enough, and you don't need to give a reason. Check your engagement letter for any notice period, and settle any outstanding fees first. The new firm then sends a professional enquiry, often called clearance, and the two firms sort out the handover between them.

  4. Agree the start date

Pick a date that keeps payroll running properly. Payroll is the one thing you can't let slip.

That's it, most of the work is done by the accountants, your end of the work can be really rather simple.

Also worth noting:

Common concerns

"Will my current accountant mind?"

Changing accountant is routine. Members of a professional body must answer the professional enquiry, even if fees are unpaid.

"Will I lose my history?"

No. Your filed accounts stay public at Companies House. Your last approved accounts and trial balance get passed over, and your cloud accounting history stays in the software.

"Can I switch mid-year?"

Yes. What matters is a clean cut-off: which firm prepares which return, so nothing is done or paid for twice.

"How long does it take?"

In our experience, inside two weeks with the right firm. Your part is short: one email, your consent, your ID and a signed engagement letter.
